Privacy policy
Last updated: October 15, 2026
This policy explains what Cleared NYC LLC ("Cleared", "we", "us") holds about you, why, who sees it, and how long we keep it.
What we hold and why
| What | Where it comes from | Why we hold it |
|---|---|---|
| Public records: summonses, hearing dates, penalties, decisions, building and owner names, owner mailing addresses | NYC Open Data (OATH, DOB, ACRIS, HPD, PLUTO) | To find owners who missed a hearing, mail them, and follow their case |
| Contact details: name, email, phone | You, when you sign up or use the chat | To run your case, send receipts and alerts, and let you sign in |
| Your signed documents: the engagement letter and OATH authorization, with a record of when and how you signed (time, IP address, device, version of the text you agreed to, and a fingerprint of the document) | You, when you sign | To act for you at OATH, and to prove what was signed |
| Consent records: when you agreed to texts, e-signing, the terms and saving your payment method, and the exact wording you saw | You | To send only what you agreed to, and to prove it |
| Case chat messages and files you send, such as repair photos and invoices | You | To prepare your hearing and send the City proof of the repair |
| Records of filings we make for you: screenshots and a step-by-step recording, made when our software fills in a City form for your case. They show what the form shows, such as your name, address and summons number | Our software, from the City's form | To check a filing before it goes in, and to prove what was filed |
| Payment records: amounts, dates, and the card or bank type and last four digits | Stripe | To charge the right amount, give refunds, and keep accounts. We never see or store your full card or bank number |
| Mail records: letters sent, delivery tracking, and when a letter's code was opened | Lob and our site | To know a letter arrived and stop sending follow-ups once you sign |
| Applications to represent: your name, email, OATH or New York attorney registration number, hearing experience, the weekdays you can work and the most summonses you'd take, and our decision | You, when you apply at cleared.nyc/represent | To review your application and, if we approve it, send you our agreement |
| Site and technical data: pages visited, browser, IP address | Your browser | To run and secure the site. |
We don't sell your information, and we don't use it for advertising.
AI
We use AI models to draft chat replies and hearing documents, sort messages and read documents you send. These models work for us under contract. They see only what each task needs. A person at Cleared reviews anything that needs judgment.
Who sees it
- You, for your case only.
- Our team, including the registered representative assigned to your case and, for insurance questions you ask us to pass on, our licensed insurance agent.
- If you apply to represent our clients, our office team, who review applications.
- The City, when we file for you: OATH and DOB receive what the filing needs.
- Service providers that run parts of Cleared for us, under contract, only to provide their service:
- Supabase (database and file storage), Vercel (website), Fly.io (background work)
- Stripe (payments), Lob (letters), Twilio (texts), Postmark (email)
- Anthropic and Typesafe (AI models), Sentry (error reports)
- Others when the law requires it, such as a court order.
How we protect it
- Your case data is locked to your case. Other owners can't see it.
- Data is encrypted when stored. Links to documents expire.
- We keep personal data out of our system logs.
- We keep a written plan for data incidents and will tell you if your information is exposed, as New York law requires.
How long we keep it
- Case files, authorizations, consents, chats and records of filings we make for you: 7 years after your case closes.
- Prospects who never signed: 12 months after the last letter we sent, then deleted, except a request to stop mail, which we keep so we never mail you again.
- Applications to represent: if we decline your application, or approve it and you don't sign our agreement, 12 months after that decision, then deleted. If you sign our agreement, it becomes part of our records of working with you.
- Our audit log is permanent and can't be edited. It records what happened on a case, not the contents of your documents.
- When we delete something, we log that we deleted it.
Your choices
- Stop mail. Tap "Stop mail" on your case page, ask in the chat, or write to 200 Vesey Street, Brookfield Place, 24th Floor, New York, NY 10281. We stop right away. A letter already in the mail may still arrive.
- Stop texts. Reply STOP to any text.
- Delete an application to represent. Ask in the chat. We delete it unless you already work with us.
- See, correct or delete your information. Ask in the chat. We may have to keep some records, such as signed documents and payment records, for the retention period above or because the law requires it.
Changes
We may update this policy. The date at the top shows the latest version.
